Take your Executive Assistant career to the next level with Kidz First.Make a difference every day while supporting senior leaders in one of New Zealands leading healthcare organisations.Health New Zealand | Te Whatu Ora is firmly grounded in the principles of Te Tiriti o Waitangi and is committed to building a health system that serves all New Zealanders.The opportunity:Reporting directly to the General Manager of Kidz First providing high-level executive and administrative support to both the General Manager and Clinical Director.You will be the central point of communication and coordination for the SMOs (Senior Medical Officers) and will support rostering, CME (Continuing Medical Education), credentialing, CME claims, and additional duties as per appropriate contractual agreements.
You will ensure smooth daily operations, enabling exceptional service delivery and supporting leaders to focus on what matters most delivering outstanding care.Key responsibilities include:Executive support to senior leaders and Senior Medical Officers (SMOs)SMO rostering, credentialing, and CME (Continuing Medical Education) coordinationManaging CME claims and contractual administrationComplex diary, meeting, and event managementInternal and external stakeholder communicationsBudget and reporting supportAnticipating leadership needs and ensuring priorities stay on trackThis is a permanent full-time position working 40 hours a week Monday to Friday and based at Middlemore Hospital.About you:You are a proactive, professional, and trusted Executive Assistant who can confidently manage confidential information and build strong working relationships.
You stay calm under pressure, think ahead, and take initiative to ensure everything runs smoothly.To succeed in this role, you will have:Minimum 3 years experience as an EA/PA supporting senior leadershipAdvanced Microsoft Office skills (Outlook, Word, Excel, Visio, and PowerPoint)Strong report writing and business communication skillsExceptional organisational and time-management abilitiesExperience handling sensitive and confidential informationProven ability to manage multiple priorities effectivelyStrong stakeholder and relationship management skillsExperience with rosteringWorking at Health New ZealandHealth New Zealand | Te Whatu Ora is dedicated to ensuring excellent healthcare for the people of New Zealand.
