The opportunity:

Reporting directly to the General Manager of Kidz First providing high-level executive and administrative support to both the General Manager and Clinical Director.

You will be the central point of communication and coordination for the SMOs (Senior Medical Officers) and will support rostering, CME (Continuing Medical Education), credentialing, CME claims, and additional duties as per appropriate contractual agreements.

You will ensure smooth daily operations, enabling exceptional service delivery and supporting leaders to focus on what matters most delivering outstanding care.

Key responsibilities include:

Executive support to senior leaders and Senior Medical Officers (SMOs)
SMO rostering, credentialing, and CME (Continuing Medical Education) coordination
Managing CME claims and contractual administration
Complex diary, meeting, and event management
Internal and external stakeholder communications
Budget and reporting support

Anticipating leadership needs and ensuring priorities stay on track

This is a permanent full-time position working 40 hours a week Monday to Friday and based at Middlemore Hospital.

About you:

You are a proactive, professional, and trusted Executive Assistant who can confidently manage confidential information and build strong working relationships. You stay calm under pressure, think ahead, and take initiative to ensure everything runs smoothly.

To succeed in this role, you will have:

Minimum 3 years experience as an EA/PA supporting senior leadership
Advanced Microsoft Office skills (Outlook, Word, Excel, Visio, and PowerPoint)
Strong report writing and business communication skills
Exceptional organisational and time-management abilities
Experience handling sensitive and confidential information
Proven ability to manage multiple priorities effectively
Strong stakeholder and relationship management skills

Experience with rostering
