About the Role

As an Executive Assistant within the Corporate Division at Health New Zealand Te Whatu Ora Waitemata, you will be required to provide proactive, efficient and comprehensive assistance and support to the Chief Nurse, as well as other members of the district leadership team.

With a keen eye for detail and a methodical approach, you will have the ability to quickly build and maintain relationships with important stakeholders.

Key responsibilities of the role include:

Managing the Chief Nurses calendar, inbox, communications, and meeting arrangements
Preparing agendas, presentations, and minutes for key committees and leadership meetings
Coordinating events, travel, accommodation, and managing office supplies
Supporting financial and HR administration, including processing invoices and timesheets
Liaising with internal and external stakeholders, including handling official government communications

Identifying opportunities for process improvement and supporting strategic projects and initiatives

This is a fantastic opportunity to play a key role at the executive level, supporting impactful work across the health system and working closely with senior leaders in a dynamic, purpose-driven environment.

This role is covered by the PSA National Health Administration Workers collective agreement and is mapped to band 5.

About you

To be successful in this role, you will have the following skills and experience:

Proven experience as an Executive Assistant supporting senior leaders, with at least 5 years in a similar role within a large organisation
Strong skills in calendar and meeting management, minute taking, financial administration, and travel coordination
Excellent written and verbal communication skills with the ability to build effective relationships at all levels
Highly organised with strong attention to detail, sound judgment, and the ability to manage competing priorities under pressure
Proficient in Microsoft Office and general office systems
Professional presentation and the ability to handle sensitive information with discretion

Experience in the health sector or public service and exposure to project coordination is advantageous
