The Fleet Services Group (FSG) delivers a continuous Vehicle Renewal Programme to maintain a Police vehicle fleet that is fit-for-purpose, keeps our people safe, and is sustainable for the future.
Approximately 500 vehicles are replaced each financial year.
We're looking for an experienced Project Coordinator to join our dedicated and focused Fleet Management team with a focus on the Fleet Lease Programme and associated project work.
This is a full-time, 12-month fixed term position based at Police National Headquarters.
As the Project Coordinator, you will report to the Manager Investment and Delivery, assisting in administering and coordinating the various aspects of NZ Police fleet and its projects.
This includes the purchasing and disposal of vehicles and coordinating and maintaining the vehicle lease programme.
You'll work closely with our lease provider and internal users to manage renewals, track lease terms, and ensure accuracy in financial coding and cost centre alignment.
You'll also lead, and support coordination of vehicle exits and decommissioning, maintaining clear and accurate data across vehicle return timelines, resale tracking, and operational reporting.
Developing registers and tools that integrate with our existing systems will be a key part of the role.
This position offers the opportunity to manage information flow, support fleet planning and reporting, and contribute to the delivery of our Leasing and Asset Renewal Plans.
Your ability to manage competing priorities, ensure data integrity, and keep processes moving will make you a critical member of the team.
You work well independently and as a collaborative team member, utilising effective problem-solving and time management skills.
Strong attention to attention to detail, planning experience, and confidence with data systems is essential.
You'll bring strong interpersonal skills, a self-motivated approach, and the ability to build effective working relationships across diverse groups.

The role primarily sits within the Investment and Delivery space however, will integrate with the Technical Team also to achieve outcomes for the whole team Key Accountabilities: Manage all vehicle Fleet records and Fleet asset data ensuring information is accurate and up to date.

Develop and maintain procedures and templates for the collection of Fleet Services information and ensure these are accessible across the Fleet Maintenance network.
Provide advice and recommendations on Fleet Services processes for continual improvement.
Lead the coordination of the vehicle lease programme, including renewals, returns, replacements, and reconciliation of lease cost centres and NZ Police finance systems.
Provide support to Manager Investment and Delivery for the planning, implementing and delivery of the Fleet Asset Renewal Plan and Leasing Plan.
Provide administrative support and assistance to the programme and projects as directed by Manager Investment and Delivery, including invoicing, payments, and lease administration.
Develop and maintain registers and processes to manage vehicle decommissioning and exits, including write-offs, returns, retainment and resale coordination.
Ensure data systems and kept current across all vehicle lifecycle stages, including leased, owned and retained vehicles.

Confidence working with data systems, registers, and reporting tools.
Prior experience using SAP is advantageous.

Methodical and organised, with great time-management and experience in multi-tasking and prioritisation.
Strong attention to detail, particularly around financial coding and system accuracy.
Attention to detail and the ability to identify and correct procedure errors.
Self-motivating with a flexible approach.
Open, honest and constructive communication.
Experience or interest in vehicle leasing, fleet operations, or logistics (desirable).

Utu ā-tau | Salary This position is covered by a collective agreement and salary will commence between $87,306 and $91,353 dependent on skills and experience relevant to the role.
