We’re now looking for a Finance & Office Administrator to help keep our finance and office systems running smoothly.
About the Role
This is a hands-on role where you’ll take ownership of our finance and office administration, supporting the wider team with accurate, well-organised systems. You’ll work closely with the Director and our Operations & Systems Lead, making sure our numbers, systems and admin are accurate, organised and up to date.
The role focuses on core finance administration — including accounts processing, reconciliations and reporting — with responsibility for office management and support for project administration alongside the Operations & Systems Lead.You’ll primarily support Higgs Building Co and Ebode Homes, with one day per week providing administration and accounting support to Tawa Architecture, who share our office space.
What You’ll Be Doing
Finance & Accounts- Day-to-day bookkeeping using Xero
- Processing accounts payable and receivable
- Bank and credit card reconciliations
- Payroll, PAYE and GST preparation
- Tracking cashflow and outstanding invoices
- Preparing financial reports and summaries, including tracking actual spend against approved budgets.
- Entering supplier invoices and cost data into project systems (e.g. Rave Build)
- Raising purchase orders and supporting cost tracking
- Maintaining pricing and supplier information
- Keeping office systems, filing and records organised
- Ordering office supplies and supporting day-to-day admin
- End-to-end fleet administration, including purchasing, registrations, WOFs and servicing.
- Liaising with suppliers, subcontractors and external accountants
- Have strong experience with Xero and a solid background in bookkeeping and finance administration
- Are comfortable working autonomously, managing your own workload and priorities without needing tasks to be delegated
- Take initiative and can see what needs to be done
- Have experience using Rave Build or similar construction or project-based systems (training will be provided if required)
- Have experience in construction or a similar trade or services-based environment (beneficial, but not essential)
- Are highly organised, reliable and detail-oriented
- Communicate clearly and enjoy supporting a team
