About the Role (applies to both positions)

Whangamata Coastal Cleaning Limited is seeking skilled and motivated Office, Administration & Accounts Managers for both Wellington and Whangamata, starting early 2026. These roles suit professionals with strong administrative and accounting experience who enjoy a dynamic, service-focused environment.

Key Tasks, Duties & Responsibilities (for both vacancies)
  • Manage day-to-day office administration and coordination.
  • Oversee accounts functions including bookkeeping, budgeting, payroll, invoicing, payments, bank reconciliations, and online banking.
  • Use accounting software effectively (Xero and Smartly familiarity preferred; training provided).
  • Manage staff scheduling based on client bookings, site requirements, and team availability.
  • Respond to client enquiries and complaints with professionalism and timely follow-up.
  • Communicate with clients, suppliers, and staff via email, phone, and online platforms.
  • Manage office supplies, cleaning supplies, and equipment inventory; coordinate with cleaning teams.
  • Oversee onboarding of new clients, prepare quotes, and confirm service arrangements.
  • Generate weekly and monthly reports on operations, scheduling, finances, and staff performance.
  • Support management with administrative tasks and project coordination.
  • Conduct site visits for onboarding, quotations, and service confirmations (Site Safety Certificate required).
  • Travel occasionally to satellite sites in Palmerston North and Whangamata.
  • Liaise with professionals (clients, accountants, IRD, ACC, etc).
  • Ensure compliance with occupational health and safety regulations.
  • Ensure company compliance with government regulations.
Minimum Skills, Experience & Qualifications (for both vacancies)
  • Bachelor of Science in Management (preferred).
  • Professional experience in accounting functions (bookkeeping, budgeting, payroll, invoicing, reconciliation).
  • Experience with accounting software Xero and Smartly preferred, but training provided).
  • Familiarity with SINC, Google Workspace, Drive, Gmail, Microsoft Excel and Word.
  • Previous experience in the cleaning industry is highly desirable.
  • Excellent organisation, communication, and problem-solving skills.
  • Ability to work independently, prioritise, and multitask.
  • Valid Site Safety Certificate (mandatory).
