Receptionist - Physiotherapy and Wellness
Purpose of the Role
To provide an exceptional front-of-house experience for physiotherapy and wellness clients. This role ensures smooth daily operations, outstanding customer service, efficient administrative support to clinicians, and a calm, welcoming environment that aligns with our wellness brand.
Key Responsibilities- Client Service & Front Desk Duties
Welcome clients warmly and create a positive first impression.
Manage check-ins/check-outs for physiotherapy sessions and wellness bookings (sauna, infrared sauna, float tank, cold plunge).
Answer phone calls, emails, and online enquiries promptly and professionally.
Provide information on services, pricing, availability, and treatment options within scope.
Upsell complementary services (e.g., add-on sauna sessions, membership packs) where appropriate.
Manage waiting room environment—calming, clean, and well presented.- Appointment & Booking Management
Use practice management software to schedule and adjust physiotherapy and wellness appointments.
Assist clients with online bookings, cancellations, and rescheduling.
Ensure clinical rooms and wellness facilities are correctly allocated and efficiently used.
Coordinate with physiotherapists to optimise daily schedules.- Administrative & Practice Support
Process payments (EFTPOS, ACC surcharges, private consults, wellness bookings, gift vouchers).
Maintain accurate client records and ensure privacy compliance (including ACC requirements).
Support ACC claim processes as needed
Manage stock of consumables and retail products (towels, water, skincare, supplements).
Assist with general admin tasks such as scanning, filing, and data entry.- Wellness Facility Operations
Prepare treatment and wellness rooms between clients (cleaning, resetting, towels).
Monitor float tank, sauna, and cold plunge scheduling and turnover times.
Follow hygiene and safety protocols for all wellness equipment.
Report maintenance needs promptly to management.- Customer Experience & Brand Support
Contribute to creating a premium, relaxing wellness environment.
Support social media or marketing tasks
Communicate client feedback to the team to continually improve service.
Maintain a high standard of personal presentation consistent with clinic branding.
Skills & Experience RequiredEssential-
Excellent communication and interpersonal skills.
Strong organisational and multitasking ability.
Comfortable with technology and booking systems (training provided).
Professional, calm, and friendly demeanour.
Ability to work independently and as part of a team.
Reliability and strong attention to detail.
Preferred

Working Hours
40 hours a week hours to be discussedopening hours will be between 6 am - 7.30 pm
