Office Administrator - Full Time Remote Admin Role

We’re on the hunt for a sharp, organised, adaptable administrator . If you’re someone who can answer phone calls with a friendly voice, responds to emails, draft up quotes, make insta reels and manage social media, and then still find time to plan a staff lunch, we want to hear from you.

What You’ll Be Doing

You’ll support the Directors, Project Manager, and team by managing the day-to-day admin, office systems, and communications to keep everything running like a well-oiled machine.
  • Daily Responsibilities:
  • Answer and direct all incoming calls and emails to the right person.
  • Keep our job management system (Fergus) tidy with updated contact info and job folders.
  • Schedule jobs, meetings, and staff training sessions.
  • Raise and track purchase orders for gear and subcontractors.
  • Allocate supplier invoices to the correct jobs.
  • Follow up on quotes and customer feedback.
  • Assist with marketing and daily social media engagement (comment, clean up, reply).
  • Organise staff events, training, and social gatherings.
  • Keep vehicle compliance records (COFs WOFs, RUCs, Regos) up to date.
  • Conduct or coordinate H&S meetings and ensure notes are recorded.
  • Order merch, lumpy mail, and manage subscriptions.
  • Drafting job quotations on the jms and sending the quotations to the customer.
  • Contribute to system improvement by documenting processes and drafting new role descriptions.
What We’re Looking For
  • Strong communication skills — written and verbal.
  • Previous admin experience with scheduling or job tracking software.
  • A self-starter with killer attention to detail.
  • Familiarity with Fergus, Xero, or similar systems (ideal).
  • Positive, friendly, and willing to learn.
  • Ability to work independently and under pressure.
  • Proactive in problem solving and supporting team operations.
  • Trustworthy, professional, and aligned with our team values.
Bonus Points For:
  • Health and Safety meeting experience
  • Previous remote admin or trade services admin background
  • Digital marketing or social media experience
