About the Role – Mo te Turanga

This is a newly created role, established to support Qestral’s continued growth and to strengthen companywide operations alongside our Chief Operating Officer and Executive Assistant. As our organisation expands, this position will play a key role in driving coordination, consistency, and operational effectiveness across the business.

We are seeking an experienced Operations Coordinator with a strong operational mindset who can step in and add value from day one. This role is central to the smooth and consistent operation of the Qestral group, providing hands-on coordination, oversight, and analytical support across both head office and village operations.

Working closely with the Chief Operating Officer, Executive Assistant, and wider head office team, you will support our villages by maintaining systems, coordinating workflows, and ensuring operational priorities are executed accurately and on time.

This is a role for someone who thrives on structure, accountability, and follow-through. You will sit at the centre of operational activity, ensuring processes are embedded, information is reliable, and teams are supported to deliver high-quality outcomes for residents.

As a new position, you will also have the opportunity to shape how the role evolves and contributes to the broader business.

Key Responsibilities
  • Supporting day-to-day operational coordination and administration
  • Assisting with the implementation and ongoing management of operational policies, procedures, and systems
  • Monitoring workflows and ensuring actions are completed accurately and on schedule
  • Collecting, maintaining, and analysing operational data and performance reports
  • Preparing regular reporting, identifying trends, and proactively recommending improvements to support continuous improvement
  • Maintaining accurate records, registers, and documentation
  • Keeping up to date with relevant legislation and industry regulations to ensure compliance
  • Managing Companies Office filings and statutory returns as required

About You – Nga Korero Mou

You are an experienced operations professional who brings structure, reliability, and sound judgement to your work. You are highly organised, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

You take ownership of your work, follow tasks through to completion, and are confident supporting senior stakeholders. You communicate clearly, exercise good judgement, and know when to take initiative and when to escalate.

You’ll likely bring:
  • A relevant tertiary qualification and/or equivalent operational experience
  • Proven experience in an operations, coordination, or similar role (ideally within a complex or multi-site environment)
  • Strong written and verbal communication skills
  • The ability to prepare clear, concise documentation, reports, and summaries
  • Sound judgement and practical decision-making ability
  • High attention to detail and a strong sense of accountability
  • The ability to manage workflows, meet deadlines, and collaborate effectively across teams
