This vital role involves mainly transcriptionduties (Typing from dictation) and providing administrative support to theclinical team to ensure that patients receive timely care in line with WaitahaCanterbury and Ministry of Health (MoH) guidelines.As part of the Administration and Clerical Pay Equity Claimsettlement this role has been mapped to National Band 4/Profile 4For further information about the administration andclerical pay equity settlement please follow the link below: PSANational Health Administration Collective Agreement
  • FINAL(tewhatuora.govt.nz)Key Responsibilities:Transcription Duties: Complete dictated letters (Listen > Type) within 3-5 days and ensure all written work is accurate.

Process and distribute outgoing correspondence within 24 hours of clinician sign-off.Customer Service: Provide excellent customer service to patients, clinicians, and other stakeholders whilst maintaining patient confidentiality and privacy at all times.Patient information: Responsibility for managing sensitive documentation, checking and updating patient demographics in the management system, and adherence to policies and guidelines for patient care.Outpatient Clinics: Booking coordination for specialised appointments, including outpatient clinics and procedures.

  • Use of SI PICS and other clinical systems for managing patient information and bookings, ensuring accuracy, timely data entry, and adherence to Planned Care (MoH) requirements.About youSkills and experienceEssential Skills & Qualifications:Excellent keyboard skills (50-70 wpm
  • preferably via audible files/dictation), as transcription will be your main responsibility.Strong customer service skills with a people-focused approach.Proficient in data systems and able to quickly learn new applications.Excellent organizational, time management, and problem-solving skills.High level of accuracy and attention to detail, with the ability to meet deadlines independently.A collaborative team player with strong communication skills (both written and verbal).Intermediate to advanced proficiency in Microsoft Office (Word, Outlook, Excel).Demonstrated perceptiveness and a sensible and proactive approach in previous administrative roles.Desired Skills:Previous experience in a healthcare administrative role.Awareness and understanding of different cultural backgrounds.Knowledge of medical terminology and familiarity with the public hospital system, including patient management systems.Join our team in providing critical administrative supportto help ensure patients receive timely and high-quality care.
