Te Tiriti o Waitangi is the founding document which defines the relationship between Maori and the Crown in Aotearoa New Zealand. It affirms both tangata whenua status of whanau, hapu, and iwi in Aotearoa New Zealand, and their rights to citizenship.

At Arowhenua Whanau Services our purpose is to ensure that the needs of Maori living in the Takiwa of Te Runanga o Arowhenua are responded to in an appropriate way by bringing whanau, hapu, iwi, and Maori community development into a relationship with health, social services and education provision.

Mo te turanga | About the role

The responsibility of Kaiwhakarite is to ensure the front desk welcomes manuhiri/whanau positively and delivers all administrative tasks to the highest quality standards. They will enter and process all incoming referrals for triage, and complete data entry to a high standard.

Key responsibilities:

  • Be able to deliver the highest standard of customer service.
  • Have excellent attention to detail and a high level of accuracy.
  • Be competent in the use of Microsoft Office suite.
  • Be innovative and open to change.
  • Performs well under pressure.
  • Have a fun ‘can do’ personality and works well in a team.
  • Experience in healthcare preferred.
  • Answer, screen, and forward incoming phone calls.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  • Provide basic and accurate information in person, via phone and email.
  • Receive or collect, sort, and distribute mail and deliveries.
  • Order office supplies and maintain inventory of stock that includes stationery, hygiene, cleaning products, and kitchen supplies for all Arowhenua Whanau Service locations.
  • Update calendars and schedule meetings as required.
  • Perform clerical duties that include filing, photocopying, and or transcribing, or other tasks asked by Kaihautu, Pou Whakahaere, Pumanawa Kaihautu and Kaiwhakahaere.
  • Organising workplace orientation for all new kaimahi starting at Arowhenua Whanau Services.
  • Organise equipment, and stationery for new kaimahi such as keys, phone and phone number, laptop, desk, chair, and business cards.
  • Coordinate and manage orientation documentation alongside the Pumanawa kaihautu, and Health and Safety (Nga Puna Hauora).
  • Provide administrative support to the Pumanawa Kaihautu and for recruitment processes.
  • Monitor and update Arowhenua Whanau Services kaimahi of all changes to policies and procedures and ensure all relevant forms and applications are completed in a timely manner.
  • Handle, manage, and direct inbound and outbound calls related to referrals.
  • Proactively engage with manuhiri, whanau, and key stakeholders and respond promptly to inquiries accordingly.
  • Process referrals and service requests effectively and efficiently with agreed timeframes and with a high level of data accuracy and speed.
  • Enter data into the Client/Patient management system accurately.
Essential professional qualifications:
  • Relevant knowledge and experience working in Reception and Administration.
  • Relevant qualifications and or experience in working within the health and social services sectors.
Other essential requirements:
  • Hold a current NZ full driver’s licence.
  • First Aid Certificate or willingness to work towards one.

  • Can engage in a way that elicits trust and embeds hope.
  • Can relate across demographics and cultures in a non-judgemental, strengths-based way.
  • Can make and maintain strong relational connections across both NGO and government providers.
