NZRSI is a busy specialist medical practice providing Respiratory and Sleep Clinical Consultations, Lung Function Testing, Sleep Testing, CPAP Clinics, and Clinical Research services.
We are looking for a warm, organised, and professional Bookings Administrator to join our team working Monday to Wednesday 8:30am - 5pm. You'll be based primarily at our Greenlane clinic, with occasional support across our Pukekohe clinic if required.
This is an important role supporting both our patients and clinical team by coordinating bookings, managing incoming calls, and helping ensure the smooth day-to-day running of our busy clinics.
About the role
You will be responsible for managing patient bookings and delivering exceptional patient communication and administrative support, including:- Answering incoming calls professionally, warmly, and efficiently
- Booking, confirming, and amending appointments for sleep studies, respiratory testing, CPAP clinics, and specialist consultations
- Reviewing referrals and ensuring patients are booked appropriately
- Managing waiting lists, cancellations, and appointment optimisation
- Coordinating appointments across clinicians and clinic locations
- Providing appointment information and preparation instructions to patients
- Following up incomplete referrals and missing documentation
- Preparing and sending appointment confirmations and reminders
- Maintaining accurate patient records and correspondence
- Supporting reception during breaks, peak periods, or unplanned absences
- Greeting and checking in patients when providing reception cover
- Working collaboratively with clinicians, physiologists, and the administration team
- Previous medical administration or bookings experience preferred
- Experience in a healthcare or clinical environment advantageous
- Strong verbal English communication skills and excellent telephone manner
- High attention to detail and accuracy
- Excellent organisational and time-management skills
- A calm, compassionate, and professional approach
- Confidence using multiple computer systems and patient management software
- The ability to work efficiently in a busy clinical environment
- A collaborative and supportive team attitude
- Knowledge of medical terminology or sleep/respiratory healthcare is advantageous
