Position Overview

The Administrative Assistant will play a key role in ensuring the smooth day-to-day operations of the office. This role will involve general administrative duties, financial data entry and reconciliation using Xero, and supporting the team in meeting Health and Safety compliance requirements.

Key Responsibilities
Administrative Support
  • Manage incoming calls, emails, and correspondence
  • Organise and maintain files and records (digital and paper-based)
  • Schedule meetings, appointments, and company events
  • Provide administrative support to senior team members
  • Order office supplies and manage inventory
  • Assist the Operations Manager with other month end completion tasks as required
Financial Administration (Xero)
  • Process accounts payable and receivable
  • Assist with operations to ensure aged debtors are managed in a timely manner and are being actively resolved.
  • Reconcile bank transactions and prepare basic financial reports
  • Maintain accurate records in Xero accounting software
  • Assist with payroll preparation and employee expense claims
Health and Safety
  • Maintain Health and Safety registers and documentation
  • Support the coordination of Health and Safety training and inductions
  • Assist with incident reporting and compliance tracking
  • Ensure workplace procedures and policies are kept up to date

Skills and Qualifications
  • Proven experience in an administrative or office support role
  • Proficiency with Xero or similar accounting software
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Attention to detail and ability to work independently
  • Familiarity with Health and Safety processes in a workplace setting is an advantage
  • Proficient in Microsoft Office (Word, Excel, Outlook)
