  • Kōrero mō te Tūranga As an Executive Coordinator within Biosecurity New Zealand, your primary focus is to provide high-level support to Directors helping them be effective with their time, support communications, and build strong relationships with internal and external stakeholders.This role is not just administrative; you'll be thinking ahead, scanning for what matters, and helping shape the Director's day with confidence and context.

You'll be part of a collaborative, supportive team environment where your organisational skills and ability to take the lead will be valued.You'll work closely with other Directors and Executive Coordinators as well as engaging with other agencies and departments in a dynamic, complex environment.

Specifically, your responsibilities will be to:Provide support to the Directors, including diary management and scheduling of meetingsCarry out a range of administrative functions to assist the DirectorsEnsure an efficient flow of papers, information, and presentationsDraft correspondence and manage the Director's inboxArrange meeting logistics including agenda preparation and minute taking About You
  • MōuYou'll bring experience in office coordination or administration within a fast-paced, complex environment, ideally in government.

You're someone who can think ahead, understand the business context, and lean in to support proactively.

You're confident prioritising tasks, pushing back when needed, and helping shape how the day unfolds.You'll have excellent communication skills, both written and verbal, and be comfortable using the M365 suite of tools.

About the Team
  • Mō tō mātou Rōpū The role sits in the Biosecurity New Zealand branch of the Ministry for Primary Industries.
We manage border and compliance activities as well as preparing for, and responding to, any biosecurity incursions that may occur.
We support all New Zealanders and visitors to play their part in protecting our country
  • including our urban, rural, and natural environments
  • to ensure that all things that make our country special and unique are maintained and protected.This role is part of the wider Executive Coordinator Group within the Branch and therefore must also contribute to the wider business goals of the Group
  • providing a professional and consistent service to the Branch.You'll be well supported by a wider team of support officers and other Executive Coordinators, so know you're not doing it alone.
