Vet Practice Administrator - Hokitika

We pride ourselves on understanding our client’s and their animal’s needs and delivering top quality service from a skilled and efficient team of Veterinarians and Technicians.Due to growth and demand, we are looking for a dedicated and detail-oriented Administrator to join our team of 4 Veterinarians and 2 Support Staff.
Position Overview:
We are seeking a proactive and organised administrator to support our veterinary team. This role will involve a variety of administrative duties, including managing diaries and bookings, handling customer inquiries and orders, maintaining records and inventory, and assisting with the day-to-day operations of the practice.
A background in farming and an understanding of the seasonality of farming practices and terminology would be advantageous but not essential for the right person. We are a team here at Paradise Vets which means pitching in where necessary especially at busy times.
Key Responsibilities:
- Answer and manage phone calls and emails. Assisting clients, vets and technicians with appointment scheduling and general inquiries
- Must be competent and confident as a communicator in person and on the telephone
- Able to accurately input information into our Veterinary Management Software
- Assist with invoicing and records, ensuring accuracy and with an eye for detail
- Assist with inventory management of veterinary supplies and medications
- Coordinate and support daily operations, ensuring smooth workflow within the clinic
- Assist with sales and recommendations of animal health products
- Provide support to the veterinary team as needed
- Assisting with packing and charging orders correctly
- Helping to keep the clinic and surrounds clean and tidy
Qualifications & Skills:
- Proficiency in Microsoft Office and able to pick up quickly our Veterinary Management Software. Prior administrative experience would be useful
- Farming experience or knowledge of farming systems would be advantageous. A passion for our rural communities
- Strong communication skills, both written and verbal
- Excellent organizational skills with the ability to multitask effectively. Able to work at a fast pace when required, think quickly and problem solve
- Ability to work independently and as part of a team. Proactive in suggesting and implementing process improvements to enhance team efficiency and workflow
