Bay Glass is a locally owned glazing company based in Kerikeri. We provide a wide range of glass solutions - including showers, splashbacks, balustrades, LouvreTec roofs, reglazes, flyscreens, and retrofits. The Role

This is a varied and supportive, office-based Administration Assistant role, averaging 20 hours per week. Work hours are between 8:00am and 4:30pm, Monday to Friday.

You'll be an important part of our team, working closely with our Office Manager and Receptionist to provide support across accounts, administration, and customer service. You will be expected to step in when needed, including helping cover colleagues who are off, so flexibility and a team-first attitude are essential.

Key Responsibilities:
  • Assist with answering client phone calls and emails politely and professionally
  • Assist with typing/creating quotes
  • Support accounts receivable and payable processes
  • Assist with end-of-month reconciliations (Xero)
  • Provide backup for payroll when required
  • Provide backup for reception when required
  • Prepare jobs and assist with scheduling, including quote creation, customer contact, and coordination with installers and suppliers
  • Carry out general administrative duties to support the office and team, ensuring compliance with all health and safety procedures.

About You

We're looking for a friendly, flexible, and customer-focused person who enjoys being part of a team. You'll be organised, attentive to detail, and able to complete tasks effectively in a busy office environment.

You'll bring:
  • Prior administration experience, ideally in a trade or construction business
  • Good working knowledge of Microsoft Office (Word, Excel, Outlook)
  • Experience with Xero (required); Fergus experience a bonus but not required
  • Strong attention to detail and accuracy
  • Clear written and verbal communication skills
  • Ability to multitask and prioritise
