Position Overview

The Personal Assistant and Event Coordinator role requires strong organisational skills, the ability to manage competing priorities, and a passion for bringing people together through well-executed meetings, trainings, and functions.

About the role:

We are seeking a proactive and detail-oriented Personal Assistant and Event Coordinator to join our Northern Region team based in Auckland. In this diverse role, you will report directly to the Northern Regional Manager and provide executive-level support to the Northern Regional Manager, Network Development Manager, and National Auction Manager.

You will also take the lead in coordinating all regional events. From managing diaries, preparing reports, and assisting with communications to organising awards nights and regional meetings, your contribution will be key to the smooth day-to-day operations and ongoing success of our region.

Key responsibilities include:
  • Diary, travel and email management for regional leaders
  • Preparing reports, presentations and coordinating internal communications
  • Supporting the delivery of business owner meetings, team planning sessions, and auction training schedules
  • Planning and executing events such as Quarterly Awards, Business Owner functions, and the Harcourts annual conference
  • Acting as the regional connector and go-to organiser

This is a full-time role in a fast-paced, people-first environment where your organisational skills and initiative will shine.

About you:

You are an experienced and confident event coordinator or personal assistant who thrives on variety, is comfortable juggling multiple priorities, and enjoys bringing people together. You are equally strong behind the scenes planning logistics as you are engaging with stakeholders across all levels.

In this role, you will be part of a dynamic, tight-knit team with a collaborative and supportive culture, delivering world-class events and enjoying the experience along the way.

To succeed in this role, you will have:
  • Proven experience in executive or personal assistance and/or event coordination
  • Excellent time management, communication, and multitasking abilities
  • Proficiency in Microsoft Office and confidence learning new systems
  • A collaborative mindset and the ability to work independently
  • A proactive, solutions-focused approach and natural attention to detail
