As part of this growth, we are seeking to employ an Admin Assistant to operate out of our Auckland branch.
About the Role
Are you an organised and reliable administrator who enjoys keeping things running smoothly behind the scenes? We’re looking for an Administration Assistant to join our hardworking team. You'll play a key role in supporting both the Accounts and Service Management teams by ensuring administrative processes are carried out accurately and efficiently.While your main focus will be on day-to-day admin tasks, we encourage and welcome your ideas for improving how we work.
Key Responsibilities- Review and reconcile purchase orders with supplier invoices and delivery documentation
- Process goods receipts and finalise internal creditor workflows
- Manage the Accounts & Admin email inboxes, including customer correspondence, as well as supplier invoices & queries
- Oversee debtor accounts and follow up on outstanding payments
- Coordinate Health & Safety documentation for service customers and manage internal H&S records (certifications, inductions, etc.)
- Maintain accurate records and assist with general administrative tasks as required
- Identify opportunities to improve internal processes and support their implementation.
- A solid understanding of general administration processes
- Experience with Health & Safety administration (preferred but not essential)
- Experience with MYOB Exo Business (preferred but not essential)
- Strong organisational skills with a methodical and efficient work style
- A high level of accuracy and attention to detail
- The ability to manage multiple tasks and meet deadlines
- Confidence using office software (email, spreadsheets, invoicing systems)
- Excellent written and verbal communication skills
- A positive, team-oriented attitude and willingness to take initiative
