About the Role
In this dynamic, hands-on role, you will manage weighbridge operations, administration systems, invoicing and accounts, internal communications, and special projects, while also supporting recruitment, training, and customer service.
This role will also include finance administration support – assisting Department Managers with end of month processes and ensuring accurate reporting.
You will lead a small but vital team, drive consistency and accuracy across core processes, and act as the bridge between site teams, management, and customers.
About You- Strong proven experience in office/administration management (experience in weighbridge or logistics is a bonus)
- Commerce or Finance qualification or background desirable
- Strong leadership, team building, managing teams and communication skills
- A customer-focused mindset with excellent interpersonal skills
- High attention to detail and commitment to process consistency
- Proficiency with Microsoft Office; experience with systems like NetSuite, FlexiPurchase, or M-Files is a plus
- Ability to manage multiple priorities, meet deadlines, and work independently
- Excellent communication and relationship building skills
- Analytical mindset with strong attention to detail
- Continuous improvement mindset and eager to innovate and grow
Weighbridge Operations & Customer Service
- Lead weighbridge rosters, team meetings and training
- Ensure consistent, accurate data entry for invoicing
- Deliver friendly, professional customer service
- Support recruitment and onboarding in conjunction with HR
- Foster collaboration between admin and weighbridge teams
- Provide support through regular staff check-ins and meetings
- Act as the go-to contact for admin and weighbridge queries
- Generate invoices, statements, royalties and charge-outs
- Manage data accuracy, filing systems and reporting timelines
- Investigate and resolve account irregularities
- Manage systems such as M-Files, FlexiPurchase, and OfficeMax orders
- Coordinating internal newsletters, meeting agendas and minutes.
- Maintain website content, customer pricing, and business cards
- Assist with end of month processes and reconciliations
- Support Department Managers with financial data collation
- Production reporting
- Streamlining administration processes
- Assist with planning and coordination for internal, external, and site-specific events
- Assist with internal communications via Company communication channels
