Legal Assistant - Student recruitment compliance

This role supports end-to-end file administration, document preparation, client communication, and compliance processes to ensure client matters progress efficiently and accurately.

Key Responsibilities
  1. Client Service & Communication
  • Act as a first point of contact for clients via phone, email, and in-person/online meetings.
  • Gather initial client information and supporting documentation, and assist with onboarding.
  • Coordinate appointments, interpreter support (if required), and follow-ups.
  • Provide clear updates to clients under direction of the Director / Licensed Immigration Adviser
  1. File Administration & Coordination
  • Open and maintain client files, ensuring accurate record-keeping and version control.
  • Manage workflows, deadlines, and reminders for visa submissions, RFIs, medicals, and other time-sensitive tasks.
  • Coordinate document requests and ensure evidence is received, saved, and labelled correctly.
  • Prepare file notes, call notes, and meeting summaries for the Director/Licensed Immigration Adviser
  1. Document Preparation & Drafting Support
  • Assist with collating and formatting supporting documents (e.g., checklists, declarations, client statements) under supervision.
  • Compile and divide application, ensuring completeness and consistency.
  • Review and check documents for accuracy (names, dates, passport details, financial figures, forms consistency) and flag issues for correction.
  • Assist with translating or explaining requirements to clients (where applicable).
  1. Compliance & Quality Control
  • Support adherence to internal processes, confidentiality obligations, and professional standards.
  • Ensure client consents, authority forms, engagement documents, and required identity checks are completed.
  • Maintain secure handling of personal information and sensitive documents.
  • Assist with audits/spot checks of files and ensure all documentation is stored correctly.
  1. General Office & Director Support
  • Manage calendars, meetings, and task allocation between the Director and advising team.
  • Assist with invoicing support, receipt collection, and basic administrative tasks (as required).
  • Maintain office templates, document libraries, and file management systems.

  • Professional, discreet, and client-focused manner.
  • Ability to follow instructions and work collaboratively with the Director/Licensed Immigration Adviser
  • Confident using Microsoft Office / Google Workspace and document management tools.
  • Comfortable in working with different communitiy groups and nationalities.
Candidate Requirements
  • Relevant qualification in legal practice - Level 7 or above
  • Or at least 3 years work experience in an immigration, legal or professional services
  • Understanding of NZ immigration file processes and evidence requirements (advantageous).
  • Ability to work in a fast-paced environment with changing priorities.
  • Multilingual ability in Korean, Chinese, or Vietnamese (spoken and written) will be advantageous.
  • Must have legal work rights in New Zealand.
  • Minimum 30 hours per week
