About the Role

We are seeking a warm, professional, and highly organised Receptionist/Administrator to provide effective and efficient reception, administrative, and customer service support to patients, visitors, staff, and referrers of the Sexual Health Centre.

This role is pivotal in creating a welcoming, confidential, and respectful environment while ensuring the smooth day-to-day operation of Sexual Health clinics. Sensitivity, discretion, and professionalism are essential.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 2 / Step 1-4

Key Responsibilities
  1. Reception Services
  • Provide a professional, welcoming reception service in line with Sexual Health Centre protocols.
  • Greet patients and visitors warmly and direct them appropriately.
  • Maintain patient confidentiality and privacy at all times.
  • Confirm and update patient details accurately in the patient management system.
  • Schedule appointments in accordance with clinic protocols.
  • Collect required information for Ministry of Health reporting.
  • Identify patients who appear unwell or infirm and refer them immediately to nursing staff.
  • Maintain tidy, professional reception and waiting areas.
  • Provide reception cover as directed by the Practice Coordinator and during peak demand periods.
  1. Telephone Communication
  • Answer telephone enquiries courteously and professionally.
  • Record and manage messages accurately and promptly.
  • Respond to enquiries within agreed protocols or redirect to clinical staff as appropriate.
  • Ensure calls are connected and redirected efficiently.
  1. Administrative Support
  • Maintain accurate and up-to-date patient registrations.
  • Book clinic appointments.
  • Ensure smooth patient flow between reception and clinic areas.
  • Scan, file, and manage patient results, tests, and correspondence accurately.
  • Follow up returned recall mail via phone, e-text, or other appropriate methods.
  • Manage e-text reminders, documentation, and patient notes.
  • Upload and manage ERMS referrals via HCS and coordinate triage to clinician panels.
  • Distribute incoming mail promptly and redirect misaddressed mail appropriately.
  1. Professional Development Teamwork
  • Maintain a high level of personal competence and professionalism.
  • Demonstrate strong verbal and written communication skills, including accurate typing.
  • Attend team meetings and contribute positively.
  • Support other administrative team members as workload allows.
  • Foster positive working relationships with staff and the public.

  • Seek and participate in learning opportunities relevant to the role.

About You

Essential
  • Demonstrated experience in roles requiring a high level of confidentiality and integrity.
  • Experience communicating effectively with the public in person and by phone in a compassionate and professional manner.
  • Intermediate Microsoft Office skills (Word, Excel, Outlook) with the ability to learn new systems.
  • Typing experience with high accuracy and attention to detail.
  • Excellent organisational and prioritisation skills.
  • Strong written communication with accurate grammar and punctuation.
  • Commitment to service excellence and continuous improvement.
  • Flexible, adaptable, proactive, and reliable.
  • Sense of humour, positive attitude, and strong team fit.

Desirable
  • Working knowledge of Medtech Evolution
  • Previous experience using patient management systems
  • Experience in a health or allied health reception environment
  • Experience with ordering/supply systems (e.g. Oracle)
