Events and Props Coordinator
The events coordinator and props organizer is responsible for planning and building events with a focus on thematic design. The role includes managing, maintaining and facilitating the improvement of some of our working inventory. Tasks include organisational administrative work, selecting, designing, building and sourcing props that align with concepts.
This role: Events and Props Coordinator, Auckland basedMinimum guaranteed 30 hours (to a maximum of 42 hours) per week at $28/hour depending on experience, with flexibility based around the event scheduling. Events, set builds and logistical planning often fall any day of the week between Monday and Sunday.
Duties, Tasks, responsibility:- Administrative planning, co-ordination around events or sets, their designs and themes
- Responding to inquiries concerning services provided and inventory hire, or build costs
- Meeting with clients to discuss their needs and coordinating these requirements
- Arranging and coordinating our provided services
- Follow processes to maintain and log event inventory
- Selection and sourcing of inventory suited to a specific event or set build
- Building of new inventory set props or pieces pre and and at event sites
- Communicate with the business leadership on a regular basis regarding improvements to systems
- Collate reports around each event project
- Background in events, hospitality, or working in events
- Ability to respond effectively to change and to respond to changes in design briefs
- Ability to manage builds or projects directly
- Good planning and problem solving skills
- Excellent communication skills
- Advantageous to have a background in prop inventory maintenance, building, designing, with a good eye for detail.
- We have an upcoming longer set build event based around anatomical parts. It would be highly advantageous to have experience around this sector. This projector was initially schedule to start in 2024, but moved forward to 2025.
- Applicable/Associated events NZ Register Diploma
- NZ driver's licence
The role will work closely with event vendors, and our lead staff to manage timelines, budgets, and resources. Strong attention to detail, creativity, and the ability to handle multiple projects simultaneously are key to delivering our vision.
