As we continue to reshape how we deliver outstanding customer experiences for our ratepayers and residents, we're looking for exceptional Executive Assistants who thrive on supporting people, building strong relationships, and making a meaningful impact.

We are recruiting two Executive Assistants who will work at the heart of change and help our organisation evolve:
  • Executive Assistant - Enterprise Optimisation & Services (operations focus)
  • Executive Assistant - Chief Financial Officer (finance focus)

In each role, you'll provide confidential, high-level executive and administrative support to your respective General Manager/CFO while also supporting the wider department. You will be a trusted partner who manages shifting priorities, builds strong relationships, and ensures smooth operations during a period of significant transformation across the organisation.

What you'll do / Nga mahi ka kawea e koe

Across either role, you will:
  • Provide proactive, high-level administrative and secretarial support to your General Manager or Chief Financial Officer
  • Act as a key point of contact, managing correspondence and enquiries
  • Lead, supervise, and support administrative staff, including mentoring, workload coordination, and performance feedback
  • Coordinate workflows, delegate tasks, and foster a positive, collaborative team environment
  • Manage day-to-day administration including meetings, travel, training, events, records, mail, and systems
  • Prepare and coordinate reports, research, correspondence, and background material for meetings and presentations
  • Administer invoices, maintain registers (including delegations), and ensure compliance with policies and processes
Role-specific focus areas:
  • EA to the Chief Financial Officer - will have a strong finance workflow focus, supporting the financial work programme, coordinating key financial calendar activities, and engaging with finance-related reporting and processes.
  • EA to the General Manager Enterprise Optimisation & Services - will have an operations and transformation focus, supporting organisational improvement initiatives, operational workflows, and the wider Enterprise Optimisation & Services team.
What you bring / Nga taonga kawea mai e koe
  • NCEA Level 3 or equivalent
  • Extensive secretarial and administrative experience - ideally 10+ years, preferably five years' experience supporting a Chief Executive, General Manager, or other senior executive
  • Ability to build strong relationships with senior external stakeholders
  • A mindset that embraces innovation, challenges the status quo, and adapts to change
  • Highly developed interpersonal and relationship-building skills
  • Intermediate Microsoft 365 capability
  • An understanding of, or willingness to learn about, te ao Maori and tikanga
  • Knowledge of, or willingness to develop an appreciation for, Te Tiriti o Waitangi and Te Ture Whaimana
