Harness Racing Administrator & Secretary - Rangiora

The position is for a part-time contracted administrator who will act as our Club Administrator and Race Day Secretary. The role is approximately 70 hours average per month, with some months busier than others. Key responsibilities include:

  • Club Secretarial Services: This involves preparing meeting agendas and reports, attending monthly committee meetings and general meetings and taking minutes. The administrator will also handle inwards and outwards correspondence, maintain accurate membership records, assist with website and marketing content as required, prepare and review Employment and Contractor agreements.
  • Financial Administration Services: The administrator is responsible for all accounting transactions including maintaining payables and receivables and preparing reports for committee meetings. The role also requires completion of Raceday Payroll, GST and PAYE returns, preparation of grant funding applications and assisting with finalising annual accounts for audit.
  • Race Day Secretarial Services: The administrator is required to be available to attend race days to manage the office and Health and Safety requirements and to ensure the event runs smoothly. Assistance with racebook preparation and liaison with owners, sponsors, HRNZ, TAB/Entain, Raceday staff, contractors, vendors is required both pre- and post- raceday.
Required Skills
  • Self-Motivation and Time Management: The person appointed needs to be self-motivated with excellent time management and organisational skills and demonstrate excellent attention to detail. An interest in the harness racing industry is desirable.
  • Computer and Software Proficiency: Significant experience in using the Microsoft suite of software and Google Drive is essential. Experience with Xero is preferred, but not essential.
  • Administrative Skills: A working knowledge of payroll, GST and basic accounting principles would be an advantage.
