WE’RE HIRING – OFFICE SUPPORT/SCHEDULING COORDINATOR
Start Date: 22nd JanuaryWork Hours: 8am – 4.30pm on Monday and Thursday.
8am – 4pm Tuesday, Wednesday, and Friday
Location: Pukekohe
Looking for an organized and reliable Office Support / Scheduling Coordinator to join our team. This role supports day-to-day office operations, stock management, and fleet maintenance, schedule update - weekly. You’ll work closely with multiple internal teams and play a key part in ensuring jobs run smoothly each week.
Key Responsibilities:Accounts Payables: price checking, coding and entering invoices into Xero
Accounts Receivable support: sending job completion details for invoicing
Customer follow-ups and updating customers on the upcoming week’s scheduleAssist with phone enquiries and general administrative support
Enter respout leads into ServiceM8 and coordinate site visits as required
Manage Supply Only price lists and send customer updates as required
Downpipe stock management, ordering and supplier follow-ups regularly for all upcoming jobs
Assist with scaffold arrangements and weekly scheduling tasks
Check and report timesheets for authorization to the GM before Thursday every week.
Maintain fleet records, servicing schedules, RUCs, WOFs and repairs
Keep the yard and stores clean, organized and documented - as required
What We’re Looking For: Strong organizational and communication skills
Confident with admin tasks and systems (Xero experience is a bonus)Able to manage multiple tasks and coordinate between teams
Someone proactive, reliable, and detail-focused
A team player who can support scheduling and customer updates confidently
