Administration Assistant and Sales Support

Location: Henderson, Auckland

Wage: $60,320 - $66,560

Full-time, 40 hours/week
We are looking for an Administration Assistant Sales Support to assist the company's day-
to-day operations. Administrative and Sales Support is essential in supporting sales
processes, shipment coordination, meeting facilitation, and cross-departmental tasks. This

position requires a highly organised individual with strong attention to detail and the ability

to optimise processes. The role includes providing backup for accounting functions, preparing comprehensive sales user manuals, and assisting in
sales and inventory management process improvements to enhance operational efficiency.

The Role
Sales Support
  • Provide administrative and operational support for sales-related activities, ensuring
smooth and efficient processes.
  • Collaborate with the sales team to address client inquiries, prepare quotations, and
facilitate communication as needed.
  • Review customer PO and verify the order details, including product specifications,
quantities, and customer requirements.
  • Shipment Organization and Documentation
  • Shipment coordination: Arrange dispatch dates based on customer requirements
and production schedules. Liaise with the related department to ensure timely and
accurate shipments. Monitor shipment progress and resolve any delays or issues.
  • Export documentation: Prepare and manage required export documents, including
commercial invoices, address labels, delivery notes, export certificates, and other
shipment-related paperwork as necessary.
  • Ensure shipment documents comply with regulations and customer requirements.
  • Coordinate with logistics providers to resolve any issues related to shipments.
Meeting Coordination
  • Compile, record, and distribute accurate meeting minutes and action items from
weekly and specially convened meetings.
  • Ensure timely follow-up on action items and maintain records for future reference.
Ad-Hoc Tasks and Process Optimisation
  • Accounts and Finance Support:
Provide backup assistance for accounts payable (AP) and accounts receivable (AR)
functions.
  • Work Order and Purchase Order Management:
Act as a backup for creating work orders in the system and issuing purchase orders.
  • Documentation and User Manual Development:

Assist in drafting detailed user manuals for key operational processes, including: Stock movement tracking.

Accounts payable and receivable functions.
Banking and export-related operations.
Ensure manuals are clear, comprehensive, and accessible to users.
  • Process Optimization:
Identify areas for improvement in workflows in sales and inventory management and
propose process enhancements.
Assist in implementing optimized procedures to enhance efficiency and accuracy.
  • Other Responsibilities

Provide support for emergency or temporary tasks as assigned by management.

Work collaboratively with various teams to ensure operational continuity during peak

periods.

The successful applicant will ideally have the following
  • A relevant degree in accounting
  • Familiarity with AP and AR processes
  • Previous experience in sales support, customer service, logistics, or a related
administrative role
  • Proficiency in Microsoft Office Suite and document management tools
  • Strong organizational skills, with the ability to multitask and prioritize work
effectively
  • Excellent written and verbal communication skills
  • Strong attention to detail, particularly in verifying order details and ensuring
accurate documentation.
  • Ability to work both independently and collaboratively in a fast-paced environment
  • A flexible and adaptable mindset to handle dynamic business requirements
  • A positive, eager to learn and can-do attitude
