An exciting opportunity has arisen to recruit a permanent part time person as Ward Clerk based at Mental Health Addictions Service (in-patient mental health unit) at Rotorua Hospital.

About the Role

You will be responsible for
  • Processing patient information and records in HNZ Lakes programs ensuring timely and accurate record keeping
  • Ordering supply and equipment
  • Communicating between departments and acting as contact person for the ward/unit
  • Managing phone calls into ward/unit
  • Safeguarding confidentiality (due to the nature of the role, a strong emphasis is placed this as a pre-requisite for everyone)
  • Handling administrative tasks on behalf of the multi-disciplinary clinical staff and managers in a polite and efficient manner
  • Assisting both patients and families seeking further help/information and to be aware of the needs of the clients, dealing in an appropriate manner with clients who can be hostile, abusive or aggressive.

About the Team/Service/ Location

The Mental Health Inpatient Unit provides care for individuals (adults) with complex mental health needs requiring inpatient care. The Inpatient Unit will be moving into a new facility in the latter part of the year with your role embedded into providing direct support to the inpatient unit with your team.

The role of the Ward Clerk is crucial in the effective running of the ward. The successful applicant will be required to have oversight of the ward's stores and supplies ensuring that they are adequately replenished through the internal procurement system.

Effective communication is essential in order to liaise with varied professions and services to organise and book meetings and appointments. An empathetic approach is required as although the post is administrative, successful applicants will engage with service users and relatives in their day to day role.

About you

Ideally, we are looking for a candidate that has a strong administration background coupled with great customer service skills and the ability to work in a fast paced, challenging environment. We are looking for someone with the ability and confidence to use their own initiative and prioritise tasks.

The post holder must possess excellent communication skills and relevant administrative experience, must be flexible and have attention to detail.

You should have
  • Experience using iPM (desirable)
  • Proven skills in Microsoft Suite skills (Word, Outlook, Excel)
  • Very high levels of confidentiality
  • Communication and interpersonal skills
  • Ability to work unsupervised and high levels of initiative
  • A willingness to help those around you
  • Organisational, time management and problem-solving skills
  • Ability to work under pressure to meet deadlines
  • Ability to pick up and use new systems and technology
  • An understanding of the Treaty of Waitangi and cultural awareness
  • You must be able to build effective working relationships, be approachable and accessible with a flexible approach to work.
