Since its establishment in the 1950s, the Feilding Civic Centre has been the heart of Feilding, providing facilities for Badminton, Basketball, Netball, and other sports. It has hosted events such as Brass Band Concerts, Craft Markets, Business Awards, School Wearable Arts Shows, Prizegiving's, Bird Sales, Carols by Candlelight, numerous theatre productions, concerts, and much more.
The venue is managed by the Feilding Civic Centre Trust. We are currently seeking a proactive, organised, and community-minded Venue Assistant Administrator to support our small team and help deliver a wide range of events to the Feilding community and surrounding districts.
This is a hands-on, varied role where you'll be involved in everything from admin and bookings to helping set up events. You'll be part of a supportive, flexible team where no two days are the same.
Key Responsibilities will include:- Administration
- Data entry, record-keeping, and invoicing (MYOB)
- Answering phone and email enquiries
- Preparing event plans, reports, and quotes
- Sourcing quotes for maintenance/upgrades
- Assisting with marketing and communications
- Supporting funding applications and reporting
- Event Coordination
- Work with the Venue Manager and Maintenance Officer to plan and deliver bookings
- Assist with event setup and pack down (staging, chairs, tables, cleaning)
- Liaise with clients and contractors before and during events
- Conduct customer inductions and safety briefings
- May involve some evening, weekend, or on-call work
- Health & Safety
- Adhere to all health & safety requirements
- Complete regular H&S reports as needed
- Ensure customer inductions and safety procedures are followed
- Previous administration experience (essential)
- Strong time management and organisational skills
- Proficient in Microsoft 365 and MYOB
- Event coordination experience (advantageous but not essential)
- Physically able to assist with event setup and equipment handling
- Excellent communication skills (written and verbal)
- Able to work independently and within a team
- Adaptable, with a "can-do" attitude
- Comfortable engaging with the public, clients, and contractors
- Committed to supporting the local community
