Office Admin Manager
Database Management: NZR Database / Players & Teams registration: Ensure all teams are registered within deadlines.
Oversee and process any player transfer from other PU’s including international clearances and ensuring player eligibility is correctly recorded.Liaise, ensure all Clubs/Schools are trained regarding the use of the above applications.
Accurate and timely input and maintenance of all databases.
Reconcile / Check weekly player registrations and ensure all players are registered.
Provide database reports for clubs and representative coaches as required.
Provide regular update player number reports vs targets, comments.
Meet with club database administrators to either train new people of updates on database.
First point of call for websites or database issues for clubs/schools.
Club rugby Administration/Management / Draws/Ground allocations:Liaise with draw steward who in turn is responsible for compiling and creating all club rugby draws, including the allocation of special club/school requests, club days and ground requests.
Communicate draws and fixtures to key contacts.
In season, communicate and update draws, ground changes etc via appropriate databases, emails and/or social media.
Event / Game Day management: Prepare and produce match day programs as required.
Liaise with visiting team management and senior club finals teams re lists, profiles, photos and players as required.Oversee Cups/Trophies required for various representative matches.
Coordinate all requirements for VIP’s and functions.
Ensure all awards / nomination forms are current and circulate to appropriate people.
Update nomination forms for Club Administrator, Senior Club POY and email to Clubs.
Ensure successful and smooth running of all events and functions and they are run within pre-determined budgets and accurate expenditure reports are made available.
Social Media/Communications:Keep official website up to date with latest news, ensuring club information portal contains the correct-latest information including list of team managers/coaches.
Ensure all standing tables are updated on a Monday and placed on Facebook/website/clubs/team managersCollate results on a Saturday and publish on website/Facebook.
Rugby Reporting & AGM/Meetings: Arrange and co-ordinate AGM, send notices to clubs, stakeholder, advertise.
Collate reports.Chairman.
CEO.
Financial.
Any other committee reports.
Print circulate Annual Report.
Attend AGM.
Finance: Collate Financial Reports from key systems.
Pay Invoices.Bank Cash as required.
