Kōrero mō te tūranga | About the RoleAs an Executive Assistant, you will play a pivotal role in ensuring the smooth operation of your leaders' day-to-day activities.
Your high-quality executive and administrative support will enable them to focus on their strategic priorities.

This role requires professionalism, discretion, and the ability to manage competing demands in a dynamic environment.Key Responsibilities will include: Manage and coordinate complex diaries, itineraries, and meeting schedules, resolving conflicts and ensuring priorities are met.

Screen, assess, and manage requests for your leaders' time, ensuring they are well-prepared for all engagements.
Oversee and manage email inboxes, flagging urgent matters and drafting correspondence as required.
Coordinate meetings, including logistics, agendas, minutes, and follow-up actions.
Process invoices, expense claims, and purchasing cards in line with Treasury's finance processes.
Arrange domestic and international travel, including itineraries, accommodation, and expense reconciliation.
Act as the first point of contact for internal and external stakeholders, building and maintaining strong relationships.
Liaise with Ministers' offices, senior officials, and other key stakeholders.
Provide mentoring and guidance to other administrative staff.
Identify and recommend ideas for improving administrative processes and activities.
Prepare and format reports, presentations, and other documents to a high standard.
Ō pūmanawa | About YouTo excel in this role, you will bring: At least 5 years' experience in an Executive Assistant or similar role, supporting senior management at Tier 2 or Tier 3 level.
Proven ability to work effectively in a complex and fast-paced environment.
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Exceptional organisational and time management skills, with the ability to prioritise and manage competing demands.
Excellent communication skills, with a professional and approachable demeanour.
High levels of integrity, discretion, and sound judgement when handling sensitive information.
Strong relationship-building skills, with the ability to work collaboratively across teams.
A proactive and solutions-focused mindset, with the ability to anticipate needs and resolve issues independently.
An understanding of, and commitment to, the principles of Te Tiriti o Waitangi.
A willingness to promote biculturalism and responsiveness to Māori issues.
Knowledge of the government environment and processes.
The ability to meet the requirements to hold a New Zealand Government security clearance.

  • $93,915 and appoint will be made based on skills and experience.
