OIL CHANGERS ON WHEELS LIMITED is seeking a highly organised, proactive, and reliable Personal Assistant to join their team in the Auckland region and support daily administrative and operational functions of the business while assisting management in ensuring smooth and efficient operations.
Key Duties:
- Provide administrative and organisational support to the Director and management team to ensure smooth day-to-day business operations.
- Manage diaries, schedule appointments, meetings, and coordinate internal and external communications.
- Prepare, format, and maintain correspondence, reports, invoices, and other business documentation with accuracy and confidentiality.
- Assist in maintaining customer records, booking schedules, operational documents, and other administrative paperwork.
- Liaise with customers, suppliers, service providers, and staff on behalf of management.
- Support the preparation of operational reports, business summaries, and general correspondence as required.
- Coordinate meetings, appointments, and related administrative arrangements for management when required.
- Handle incoming phone calls, emails, and general enquiries in a professional and timely manner.
- Assist in monitoring deadlines, follow-ups, schedules, and task completion to support efficient workflow management.
- Support general office administration, including filing, record keeping, and document management.
- Maintain organised administrative systems and ensure company records are updated appropriately.
- Ensure confidentiality of business information and compliance with company policies and procedures.
- Perform other administrative and coordination duties as reasonably assigned by management.
The candidate will be required to work at least 30 hours per week and be paid between $30 to $40 per hour.
Other important requirements:
- Minimum of 1 year of relevant work experience or a relevant qualification at Level 6 or above.
- Availability to work on weekends if required.
- Strong attention to detail with a commitment to delivering high-quality work.
- Self-motivated, proactive, and passionate about the role.
- Ability to maintain confidentiality and effectively prioritise tasks in a professional manner.
