Are you a detail-oriented and organised professional with a knack for keeping projects running smoothly? Tracks is looking for a Projects Administrator to join our team on a fixed-term basis.

Based in Whakatane, we are a well-established civil construction company with over 40 years of experience in delivering high-quality work across earthworks, demolition, concrete works, retaining walls, and civil infrastructure.

About the Role

As a Projects Administrator, you will play a vital role in supporting our project and operations teams by ensuring accurate documentation, efficient coordination, and clear communication across all phases of our civil construction projects.

This is a fixed-term role (minimum of 6 months, 30 hours minimum per week), ideal for someone with a background in construction or administration who is looking for flexibility and a dynamic work environment. An immediate start is available.

Key Responsibilities:
  • Provide administrative support to Project Managers and Site Supervisors
  • Develop and submit tenders
  • Help prepare and submit quality assurance, compliance documentation, and reports
  • Maintain and update project documentation, records, and registers
  • Assist with scheduling, subcontractor coordination, and progress tracking
  • Liaise with clients, suppliers, and team members to support project delivery
  • Submit claims / invoices for approval
  • Support general office duties when required

  • Previous experience in an administrative role, preferably within construction or a related industry
  • Strong organisational and time management skills
  • Excellent attention to detail and ability to multitask
  • Proficiency in Microsoft Office, MYOB and confidence learning new systems
  • A proactive attitude and team player mindset
