Mo te tunga | About the role

Waikeria Prison are seeking an enthusiastic, self-motivated, committed individual who can complete a wide range of office administration activities. This is a rewarding and challenging position within an environment that will stretch your skills and offer ongoing support.

Responsibilities include but are not limited to:

  • Liaising with our management team and the public
  • Liaising with organisations and services we work with
  • Reception and phone duties
  • Booking whanau visits for the men in our care
  • Processing files
  • Record management and ensuring correspondence, reports and other documentation meet Department timelines and standards
  • Providing administration support across our site by setting up meeting invites, taking minutes, recording actions, communicating with external stakeholders and filing
In this busy role, you will thrive working collaboratively within a team of up to 20 staff on a 7-8 day roster (with weekend work required). You will operate in a challenging, fast-paced environment where the ability to multitask, remain adaptable, and follow policies and procedures is essential.

Strong judgement is required to effectively prioritise tasks and activities to meet deadlines. Please note that some lifting may be required.

The preferred candidate will be able to demonstrate:

  • A strong commitment to manaaki in all day-to-day interactions
  • Sound experience and knowledge of office administration practices
  • Resilience when navigating challenging situations in a dynamic environment, with a pragmatic approach to problem-solving
  • Strong organisational skills, with the ability to adapt, multitask, and meet deadlines
  • A collaborative mindset, with the ability to contribute positively as part of a dynamic team of administrators
  • Excellent interpersonal skills and the ability to work with people from diverse backgrounds in a friendly and non-judgemental manner
  • A high level of integrity, with the ability to maintain confidentiality when handling sensitive and personal information
  • Proficiency in computer software and database systems, including the Microsoft Office Suite (Word, Outlook, Excel), and the ability to quickly learn new systems

Applicants must be a New Zealand citizen, holder of a New Zealand residence permit, Australian citizen, or Australian resident with a current Resident Return Visa. A full New Zealand driver licence is also required for this role.

Nga painga | The benefits

The salary range for this position is $64,717 - $68,434 per annum. Appointment and remuneration will reflect skills and experience relevant to the role.
