We are seeking a proactive, detail-oriented, and bilingual (English and Mandarin)

General Manager Assistant to provide high-level administrative and executive support

to the General Manager. This is a pivotal role that sits at the heart of the business, ensuring smooth day-to-day operations while also assisting the GM with marketing
initiatives.
The ideal candidate will be a skilled communicator, a problem-solver, and capable of
handling a wide range of administrative and executive support tasks with discretion and
professionalism. This role offers the opportunity to work directly with the GM and gain

exposure to both operational management and strategic marketing activities.

Key Responsibilities:

Administrative & Executive Support
  • Manage and coordinate the GM‘s calendar, including scheduling meetings,
appointments, and travel arrangements.
  • Prepare meeting agendas, attend meetings, take minutes, and follow up on
action items.
  • Handle correspondence, emails, and phone calls on behalf of the GM as
required.
  • Draft, proofread, and format documents, presentations, reports, and other
business correspondence.
  • Organise and maintain files and records, ensuring easy access and
confidentiality.
  • Assist with project coordination and follow-up across various business functions
to ensure deadlines are met and objectives are achieved.
  • Manage expenses, purchase orders, and invoices as needed.
  • Act as a point of contact between the GM and internal staff / external partners,

ensuring smooth communication flow.

Marketing Support
  • Assist the GM in executing marketing activities, including content preparation,
campaign coordination, and event planning.
  • Support social media management (e.g., LinkedIn, WeChat, or other relevant
platforms) by drafting posts and monitoring engagement.
  • Assist with the preparation of marketing materials, presentations, and proposals.
  • Conduct basic market research and competitor analysis as directed by the GM.
  • Coordinate with external agencies or partners on marketing projects.

Key Requirements: Essential Skills & Experience

  • Fluency in both English and Mandarin Chinese – exceptional written and
verbal communication skills in both languages, with the ability to provide
real-time translation and interpretation during meetings when required.
  • Previous experience in an administrative, assistant, or coordination role.
Experience supporting senior management is highly regarded.
  • Excellent organisational and time-management skills – able to prioritise tasks
and meet deadlines in a fast-paced environment.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
and familiarity with file-sharing tools (Google Drive, OneDrive, Dropbox, or
similar).
  • Strong written communication and minute-taking ability – able to produce
clear, professional documents and summaries.
  • High level of discretion and professionalism in handling confidential
information.
  • Proactive problem-solving skills and an ownership mindset – identifies issues
and takes initiative to resolve them without being asked.
  • Valid New Zealand Full Driver Licence (preferred, as occasional travel may be
required).
  • Ability to work both independently and collaboratively as part of a team.
  • Existing eligibility to work in New Zealand (citizenship, residency, or valid

work visa).
