AUTOPREP East Branch is seeking a proactive and detail-oriented Manager Assistant to support daily operations and assist the Branch Director. You will coordinate vehicle preparation schedules, manage supplier communications, maintain system records, and track inventory to ensure smooth workflow.
This role is ideal for a recent graduate or junior professional with a relevant degree looking to gain hands-on experience in vehicle operations and logistics.
Key Responsibilities- Coordinate vehicle delivery and preparation schedules with internal teams to meet compliance, repair, and business deadlines
- Monitor vehicle grooming, mechanical checks, and quality standards before authorising dispatch
- Conduct condition checks and confirm vehicle readiness prior to delivery
- Maintain regular communication with suppliers (mechanics, panel beaters, groomers) to monitor service progress and resolve issues
- Negotiate service timelines and support vendor performance tracking
- Use Motor Central and other operational systems to update pricing, inspection records, repair statuses, and service progress in real time
- Ensure timely and accurate upload of all branch documentation, including inspection reports and compliance paperwork
- Track and manage inventory of tools, equipment, consumables, spare parts, and batteries; place orders as needed to minimise downtime
- Assist the Branch Director by relaying instructions, coordinating tasks, and supporting operational priorities
- Monitor staff task completion and provide feedback or suggestions for workflow improvements
- Identify operational inefficiencies and suggest improvements to reduce costs and improve productivity
- Maintain confidentiality and professionalism when handling sensitive information and internal communications
Requirements
Education:
- Bachelor’s degree in business, Commerce, Logistics, or a related field (required)
- Recent graduates are encouraged to apply
Skills & Abilities:
- Strong written and spoken English communication skills
- Good organisational skills with the ability to manage multiple tasks
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Ability to work independently and follow instructions accurately
- Willingness to learn and adapt in a fast-paced environment
- Other Requirements:
- Full New Zealand Driver Licence
- Legally eligible to work in New Zealand
- Available for full-time work with some flexibility in hours if needed
- Mandarin or other language skills are a plus but not mandatory
