  • About the roleWe are looking for an experienced Executive Assistant/Advisor (known internally as a Business Specialist) to work with the Kaihautū Organisational Effectiveness (OE) and their team at Toitū Te Whenua Land Information New Zealand.As a key member of the Kaihautū office and member of the OE Business Management team, you will deliver end-to-end, seamless and professional support, planning and advice.
Reporting to the Leader-Business Management, this Business Specialist role is part of a collaborative and supportive team.
No two days will be the same and you will see yourself involved in a range of work.The first point of contact for the Kaihautū with internal and external stakeholders, delivering professional communications and correspondence.Manage dynamic calendars, schedule meetings, and coordinate travel and logistics.Mailbox management
  • organise, prioritise and respond to (where appropriate) Kaihautū emails and maintain your own inbox.Appropriately handle confidential and sensitive information on behalf of the Kaihautū.Create agendas for senior leadership meetings in line with the teams' objectives, with oversight and input into Governance Board agenda coordination.Review documents, reports, and presentations with the confidence to provide feedback to the author ahead of Kaihautū review.Contribute to government transparency and accountability processes including Written Parliamentary Questions and Official Information Act responses.Draft content and track performance information to ensure the Kaihautū is prepared and regularly updated on delivery against priorities e.g.
report summaries, tracking performance against key monthly and quarterly metrics, speaking notes.Ad hoc tasks that require forward thinking and being several steps ahead to connect the dots across initiatives, stakeholders and priorities to help the Kaihautū and the team respond quickly as demands change.An active member of the Business Specialist community of practice, providing input, improvements and advice on existing or new systems and processes.

  • Skills & ExperienceTo thrive in this role, you will have:Ability to work on varied tasks in a dynamic and often ambiguous environment with shifting priorities, showing flexibility and adaptability.Strong organisational skills while exercising sound judgment in managing competing demands and complex issues, sometimes with limited direction.Exceptional relationship management skills with the confidence to liaise with senior leaders, customers and stakeholders, internally and externally.Impeccable attention to detail when creating and reviewing material while also being able to work at pace.Strengths in thinking ahead and taking the initiative to deliver practical solutions.Ability and confidence to proactively identify and resolve issues/risks that may impact the Kaihautū from being able to deliver on their commitments and their responsibilities.Good understanding of operations and governance in large organisations, ideally with experience in the public sector.Knowledge of machinery of government would be a bonus.The annual full-time salary range for this role is $75,000 to $85,000 depending on skills and experience.
