Te Awapuni Moana Trust is a Toopu Whenua Trust constituted under Te Ture Whenua Maori Act 1993 and established exclusively for Maori community purposes. We are now transitioning from external to internal administration and seek a skilled and values-driven Business Administrator / Secretary to lead this transition and provide ongoing financial, compliance, and governance support for the long term.
This is a senior, part-time permanent role, ideally suited to a Chartered Accountant (CA ANZ) or Certified Practicing Accountant with strong experience in trust accounting and statutory reporting.
Key Responsibilities: Financial Management
- Lead day-to-day accounting in Xero: coding, invoicing, GST returns, cashflow
- Manage Trustee fee processing via PayHero
- Ensure accuracy of lease invoicing aligned to agreements
- Prepare monthly or quarterly financial reports for hui
- Prepare accounts using PBE SFR – Accrual (Not-For-Profit) framework
- Coordinate with auditors and ensure audit is completed prior to AGM
- Maintain compliance with Charities Services, IRD, and Companies Office
- File annual returns and update public registers
- Support governance reporting and trustee information obligations
- Manage transition of bank mandates (Westpac) to new signatories
- Maintain secure payment workflows and banking records
- Oversee transfer and secure management of all Trust records (digital and physical)
- Coordinate with IT support to establish cloud-based file systems
- Prepare hui materials: agendas, trustee packs, minutes, and resolutions
- Maintain Trust calendar and support coordination of trustee responsibilities
- CA ANZ, CPA, or other NZ-recognised accounting qualification
- Minimum 5 years' experience in financial leadership, trust, or not-for-profit administration
- Skilled in Xero, PayHero, and cloud-based accounting systems
- Experienced in audit, compliance, budgeting, and reporting
- Strong attention to detail, confidentiality, and stakeholder communication
- Comfortable operating within tikanga Maori and kaupapa-based governance environments
- This is a long-term, ongoing position beyond the transition phase
- Trustees retain financial signing rights – this is a support and advisory role
- Based in Gisborne, with flexibility available for the right candidate
- Reports directly to the Chairperson and supports the Board of Trustees
