Operations Coordinator

We’re on the lookout for an organised, proactive and detail driven Operations Coordinator to join our Dunedin team. This is an exciting opportunity to work closely with our COO, CEO and Senior Leadership Team (SLT), playing a key role in keeping EP’s business rhythm running smoothly.
You’ll be at the heart of our operations, helping to coordinate leadership activities, keep communication flowing and ensure we’re aligned and moving in the right direction as a business. It’s a role that blends administration, coordination and problem-solving, perfect for someone who thrives in a fast paced environment and enjoys driving impact through strong organisation and execution.
We’re looking for someone based in Dunedin, who can work closely with our COO in the office ideally 5 days a week (with some flexibility).
What you will do- Coordinate the key meetings and planning cycles that keep EP running smoothly, including our Operating Leadership Team (OLT) meetings, Quarterly Business Reviews (QBRs) and other leadership forums
- Manage central calendars for the CEO, COO and leadership team, ensuring critical meetings and business events are well planned and communicated
- Capture and track actions from leadership meetings, ensuring next steps are clear and progress is shared across the business
- Prepare dashboards, presentations and documentation that support visibility of business performance and priorities
- Lead the coordination and logistics for SLT and extended leadership off site events, as well as other key internal events
- Assist with calendar management, travel bookings, expense tracking and day to day administrative support for the CEO, COO and broader leadership team
- Help with business RFPs, tender submissions and cross functional projects to ensure documentation and processes are complete and on time
- Work across teams to ensure communication is clear, documents are up to date and our people have what they need to do their best work
- You’ll bring administrative experience in fast moving environments and be confident managing multiple priorities while keeping things running seamlessly
- Exceptional organisation and time management skills, you’re someone who loves structure and getting ahead of what’s coming next
- A strong communicator who can manage competing priorities and keep others informed with ease
- A positive, proactive and solution focused mindset, you spot opportunities to make things run better and jump in to help
- Tech savvy and confident using a range of tools (Google Workspace, project management platforms etc), experience leveraging AI tools to boost productivity is a bonus
- Experience with event planning or coordination would be highly regarded
