Workforce Planning Coordinator
We’re on the lookout for an experienced Workforce Planning Coordinator / Administrator to join our high-energy City Operations team. If you're a proactive team player who thrives in a fast-paced environment, loves variety, and enjoys supporting frontline teams, we want to hear from you!
What You’ll Be Doing- Allocate planned and reactive works – right people, right place, right time
- Communicate updates to field crews and leaders in real time
- Support team leaders to keep their teams on track and running smoothly
- Assist field crews with general enquiries, event coordination, training support, and IT/system assistance
- Invoicing, month-end reporting and processing of data
- Help with daily operations like ordering supplies, catering, event setup/ pack down, logging internal requests, and handling mail and invoices
This role reports to the Workforce Planning Lead and operates within a 40-hour week (6:45am–3:15pm, Monday to Friday). Location may be Tauriko or Aviation Drive Mount Maunganui (discussed at interview). As this role is supporting a large field crew and they prefer face to face support it is unable to be done from home.

- Proven experience in administration, workforce coordination, or a similar role
- Strong multitasking and prioritisation skills
- A sharp eye for detail and a knack for solving problems
- Confidence with technology – quick to learn new systems and skilled in Microsoft Office (especially Excel)
- Bonus points if you’ve used PowerBI, ArcGIS, Survey123, or e-Roads
- Excellent communication skills and the ability to work with people from all walks of life
- A team player with a reliable, can-do attitude
- A full, clean driver’s licence
