The South Westland Area Practice is seeking a Receptionist / Administrator to join our dedicated team and support the delivery of exceptional primary care to the South Westland community.
About the Role
As the Receptionist / Administrator, you will be the first point of contact for patients and visitors, playing a key role in creating a welcoming, professional atmosphere. This position supports the clinical and administrative operations of the practice and liaises with General Practitioners, Rural Nurse Specialists, community organisations, and health agencies.
You - ll be responsible for delivering high-quality reception and administrative services, maintaining patient records, managing bookings, supporting financial processes, and ensuring the practice operates efficiently and smoothly.
As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 4/Profile 4

Key Responsibilities- Provide exceptional customer service to patients and visitors
- Answer phones, schedule appointments, and manage patient arrivals using the INDICI system
- Ensure the waiting room is tidy and patients are cared for appropriately
- Register new patients and ensure compliance with Ministry of Health requirements
- Handle incoming and outgoing mail, emails, and correspondence
- Support clinicians with recalls and primary health targets
- Carry out general office administration, including data entry, scanning, and filing
- Manage daily banking, invoicing, and payment processing
- Liaise with community groups and coordinate clinical room bookings
- Assist with onboarding of new staff and visiting clinicians
About you
Essential Skills Attributes- Previous experience in a receptionist or front-line customer service role
- Excellent communication and interpersonal skills
- Strong organisational skills and attention to detail
- Computer literate with good data entry skills
- Able to prioritise and work independently
- Cultural competency and awareness of confidentiality and boundaries
- A team player with a proactive attitude
- Full driver - s licence
- Experience in a general practice or healthcare setting
- Familiarity with the INDICI patient management system
- Financial administration experience
- First Aid Certificate
- Understanding of the Treaty of Waitangi principles (Partnership, Participation, Protection)

The practice is based in the beautiful glacier town of Franz Josef and includes four satellite clinics in Hari Hari, Whataroa, Fox Glacier and Haast with regular work in these clinics a key part of the role.
