  • FINAL(tewhatuora.govt.nz) Key responsibilities include:Coordinating email and phone queries to the OCMO in a timely and professional manner and liaising with the Customer Services team on outstanding complaints.Supporting the coordination of the Credentialing process in conjunction with the Credentialing Coordinator.Coordinating Official Information Act (OIA) requests, liaising with hospital departments, the Communications team, and Health New Zealand when required.Providing general and specific administration support to multiple workstreams within the Office of the Chief Medical officer.Managingbookings, diary coordination, and general administrative tasks for thefollowing offices and leaders:Deputy Chief Medical OfficerMedical Advisor to Chief MedicalOfficer Clinical Directors (Workforce,Special Projects, Service Improvement, Integrated Services)Chairs of theCredentialing BoardHandling general administration and invoicing tasks for the Canterbury Initiative and its community teams, including queries from contractors and vendors, database maintenance, contracts, and invoicing.Maintaining oversight of administration for MAP Services, MSK, Transgender, ERMS, and Orthopaedic services within the Canterbury Initiative community workstreams.Supporting the distribution and setup of IT devices, basic troubleshooting, and issue logging for internal staff, community providers, and the public.Assisting in collating reports for Health New Zealand and external partners, such as unions and the Medical Council of New Zealand.Provide general administrative support and undertake additional duties as requiredAbout youQualifications, experience, and skillsEssentialPrevious experience in a busy administrative or coordination role, preferably in the health sector.Strong ability to manage timelines and competing priorities across multiple workstreams while maintaining professionalism.Excellent communication skills, with the ability to tailor messages to clinical and non-clinical stakeholders.Self-management and initiative, with sound judgment on when to escalate matters.Proficiency in Microsoft Office Suite, with the ability to quickly learn and adapt to new systems.

Experience with Microsoft Teams and Visio is an advantage.Ability to meet deadlines and deliver outcomes effectively.Knowledge of, or a willingness to develop, an understanding of Te Tiriti o Waitangi and its application to health research and service delivery.DesirableUnderstanding of operational processes in large organisations.Ability to troubleshoot and problem-solve under pressure.Proven flexibility and adaptability in high-pressure environments.Working at HealthNew ZealandHealth New Zealand | Te Whatu Orais dedicated to ensuring excellent healthcare for the people of New Zealand.
