Part-Time Administrative Support - West Coast Rugby Union
Location: Greymouth, West CoastHours: Part time- 15 hours a week ( potential to be more in the future)
PurposeThe Part-Time Administrative Support role provides essential administrative and secretarial services to WCRU staff and affiliates, ensuring the smooth operation of databases, financial administration, and club management systems. The role also supports member clubs by providing training and guidance in operational processes.
Key Responsibilities
General Administration & Financial Support
Assist the CEO with administrative tasks.
Assist with Funding ApplicationsProcess invoice payments and manage outgoing invoices.
Complete payroll processing.
Assist with general financial administration, including overseeing and balancing representative team budgets.
Assist on game day at John Sturgeon Park when needed
Database & Club Competition Management
Manage NZR Player & Team Registration systems and RX support.
Ensure timely and accurate player registrations, including processing transfers and international clearances.
Provide database training and guidance to clubs and schools. Generate reports for clubs and representative coaches as needed.
Act as the primary point of contact for website and database issues.
Coordinate and communicate club rugby draws and ground allocations, updating schedules as needed.
Communications & Social Media
Maintain and update the official website with current news, club information, and competition standings.Publish weekly results, update standing tables, and ensure accurate reporting across digital platforms.
Prepare programme content for Club Rugby and Heartland competitions.
Assist with contract preparation for sponsors.
Event & Representative Team Support
Assist with the administration of tournaments, including Rippa Rugby and club competitions.Provide logistical support for representative teams, including budget preparation and travel coordination. Support the organization and execution of Heartland matches.
Oversee the WCRU online shop, managing sales and stock levels.
Qualifications & Skills
Prior experience in financial administration, bookkeeping, or payroll processing preferred.Strong organizational skills and attention to detail.
Proficiency in accounting software (e.g. Xero) and Google ApplicationsAbility to manage multiple tasks efficiently and work independently.
Excellent verbal and written communication skills.
Strong time management skills and ability to meet deadlines.
Passion for rugby and understanding of club operations.
