Assistant Project Manager – National Programmes (Fixed‑Term / Full‑Time)

I’m looking for an Assistant Project Manager to join a high‑performing national team, responsible for supporting the delivery of critical property programmes across Aotearoa.

This role sits within a large, diverse property group responsible for one of the country’s most significant social infrastructure portfolios. You’ll play a key part in coordinating programme activity, supporting project managers, strengthening reporting and data accuracy, and ensuring stakeholders have the information and support they need to deliver at pace.

About the Role

As an Assistant Project Manager, you will be an essential connector across stakeholders, suppliers, delivery teams, and programme managers. You will support programme planning, tracking, communication, and reporting, helping ensure projects progress smoothly, risks are identified early, and documentation is accurate and up to date.

This role is perfect for someone who enjoys variety, can move comfortably across multiple workstreams, and brings both curiosity and a continuous improvement mindset.

What You Will Be Doing: Contract & Procurement Support
  • Assist in preparing procurement documentation, coordinating evaluations, and ensuring compliance with procurement processes.
  • Help draft and administer contracts, maintain registers, and track progress across key deliverables.
  • Support forecasting, budget alignment, and programme‑wide financial reporting.
Problem Solving & Continuous Improvement
  • Work with project and programme teams to identify risks, resolve issues, and strengthen processes.
  • Improve reporting, financial workflows, procurement tracking, and administrative systems.
  • Validate data, monitor deadlines, and ensure high‑quality, accurate reporting.
Relationship Management
  • Build strong, trusted relationships with suppliers, consultants, stakeholders, and internal teams.
  • Support stakeholder engagement, track follow‑ups, and help resolve issues constructively.
  • Contribute to a collaborative “One Team” culture by sharing insights, lessons learned, and best practice.
Communication
  • Provide timely, accurate communication across programme teams.
  • Manage shared inboxes, coordinate updates, and help prepare internal and external reporting.
  • Support briefings, memos, and programme‑level documentation.
Data & Reporting
  • Maintain dashboards, tracking tools, KPIs, and reporting systems.
  • Reconcile data across assets, financial records, and contract information.
  • Contribute to strengthening programme integrity through accurate, reliable data outputs.

What You Bring

We’re looking for someone who has:

  • Experience in project or programme coordination within a large, complex, or multi‑stakeholder environment.
  • Strong organisational skills and the ability to manage competing priorities.
  • Excellent communication skills, clear, concise, professional, and adaptable to different audiences.
  • Strong relationship‑building capability and high emotional intelligence.
  • Comfort with data, reporting, and accuracy-focused work.
  • Familiarity with project or programme delivery methodologies (e.g., Prince2 or similar).
  • Proficiency with Microsoft Office tools; experience with reporting tools (e.g., Power BI) is beneficial.
  • A continuous improvement mindset and an eagerness to learn.
