We are seeking an organised and proactive **OIM Project Coordinator** to support the delivery of the Otaki to North of Levin (O2NL) project - a major initiative led by Waka Kotahi NZ Transport Agency, in partnership with Muaupoko Tribal Authority, Ngati Raukawa ki te Tonga hapu, and Horowhenua District Council.

**TeKowhiringa | The Opportunity**
As the OIM Project Coordinator, you'll work closely with our Owner Interface Managers (OIMs) and the wider Owner team to keep day to day operations running smoothly. This role focuses on providing accurate, timely administrative and coordination support to help deliver a safer, more reliable State Highway 1.
Day-to-day responsibilities include:
- Executive Support & Diary Management: Manage OIMs schedules, emails, and travel arrangements.
- Communication & Stakeholder Coordination: Facilitate clear communication across project teams, maintain contact lists, and support meetings and handover processes.
- Administrative Excellence: Provide high-quality admin support including document formatting, managing shared inboxes, minute taking, event coordination and tracking project-related invoices.
- Compliance & Quality Assurance: Maintain accurate documentation, support document control processes, and help ensure consistency and compliance across the project.
*This full-time, fixed-term contract is for two years, with the possibility of extension. The role is primarily based at our Levin North office, with occasional travel to the Otaki South office and Wellington.*
**About** **O2NL:**
The Otaki to north of Levin (O2NL) highway will dramatically improve safety, resilience and efficiency, as well as increasing transport choices for the area's growing population. The O2NL project is led in Partnership with NZ Transport Agency Waka Kotahi, Muaupoko Tribal Authority, local hapu of Ngati Raukawa ki te Tonga and council partner Horowhenua District Council.
This transformative project is being delivered using a two-alliance approach, with each alliance delivering a section of the road and associated works. Together alliance partners are working to create a positive legacy for the region, led by our project principles to tread lightly with the whenua and create an enduring legacy.We are seeking excellent people for this unique opportunity to work and collaborate with leading industry organisations.
**Nga Pukenga Matua | Important Skills**
In this fast-paced, admin-heavy role, we're looking for someone with strong planning and organisation skills. You'll bring a sharp eye for detail, a process improvement mindset, and a positive, collaborative approach to working with others. You will also have:
- Proven experience as a senior administrator, executive/personal assistant, or project support role.
- Experience in managing diaries and emails for senior managers or executives.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with EDMS systems, particularly Aconex (preferred but not essential).
- High level of discretion and tact when handling confidential or commercially sensitive information
