Office Administrator

Aotea Electric Marlborough is well respected within the Marlborough. We enjoy working with a variety of clients covering domestic, industrial and commercial sites. We specialise in Electrical, HVAC, Fire, Security and Solar.
We are currently looking for a proactive, organised, and friendly Office Administrator to join our close-knit team.
This is a hands-on role where no two days are quite the same. You'll be the go-to person for a wide range of administrative duties, supporting the smooth operation of our branch.
Key Responsibilities:- Answering phones and managing incoming job requests via email
- Creating and updating jobs in Upvise and Workbench
- Data entry of supplier invoices and purchase orders
- Managing accounts receivable/payable and daily bank reconciliation in Xero
- Sending monthly statements and following up on overdue accounts
- Setting up new customers and staff across multiple systems (Xero, WB, Upvise, Assura)
- Supporting Health & Safety administration via Assura
- Coordinating staff training, PPE, and uniforms
- Overseeing vehicle records and checks via Track It
- Uploading documents and invoices to external portals
- General office duties including stationery orders and filing
- Strong administration background and attention to detail
- Proficiency in Xero and confidence working across multiple platforms
- Great communication skills - both written and verbal
- Friendly phone manner and professional presentation
- Ability to prioritise tasks and work independently
- A proactive attitude and willingness to support wherever needed
