  • Permanent Part-time position - 32 hours, 4 days a week, 0800-1630 (days flexible).

About the Role

We are seeking a proactive and detail-focused Clinical Administrator to support our Allied Health Services at Christchurch Health Campus. This role plays a key part in ensuring patients receive timely access to care in line with Waitaha Canterbury standards and Ministry of Health (MoH) targets.

You will work closely with the Allied Health Administration Team Leader, departments Clinical Manager, and your administration colleagues to deliver efficient booking practices and provide excellent front-of-house service.

As part of the Administration and Clerical Pay Equity Claim settlement this role has been mapped to National Band 5/Profile 5

Key Responsibilities

Customer Service Front of House
  • Provide warm, professional, patient-focused customer service.
  • Maintain confidentiality and privacy at all times.
  • Manage patient arrivals and departures with accuracy and care.
  • Update patient demographics in the patient management system (SI PICS).
  • Refer patients in need of immediate support to clinical staff.
Booking Patient Management
  • Book outpatient appointments in line with Waitaha business rules and MoH guidelines.
  • Prioritise bookings to ensure - greatest need, longest wait - principles are met.
  • Ensure accurate, timely data entry and clear communication with patients.
  • Prepare clinics, manage utilisation, and minimise cancellations by working within booking timeframes.
Communication Team Support
  • Communicate clearly, openly, and professionally with patients, clinicians, and colleagues.
  • Contribute to a supportive team environment and high-functioning service.
  • Respect confidentiality and maintain professional standards.
  • Take meeting minutes, action outcomes, and follow through effectively.

About the Team/Service/ Location

Allied Health is a term used to describe the broad range of health professionals who are not doctors, dentists or nurses. Allied Health includes Physiotherapy, Occupational Therapy, Speech Language Therapy, Nutrition Dietetic Services, Social Work, Child Development Services, Cancer Psychosocial Services, and Hauora Maori Health Services.

Essential Skills Experience
  • Strong customer service skills - people-focused and approachable.
  • Technically savvy, with the ability to pick up new systems and processes quickly.
  • Excellent organisational and problem-solving skills.
  • High accuracy, attention to detail, and ability to meet deadlines.
  • Strong written and verbal communication skills.
  • Able to work both independently and as part of a team.
  • Proficient in Microsoft Office Suite (Word, Outlook, Excel) with excellent keyboard skills.
  • Demonstrated initiative and perceptiveness in an administrative role.
Desired Skills Experience
  • Broad administrative experience, preferably in a health-related field.
  • Knowledge of medical terminology.
  • Familiarity with public hospital systems and SI PICS.
  • Awareness of and respect for people from diverse cultural backgrounds.
